Trailer Department Specialist
Responsibilities
Track the location and status of the company’s trailer fleet (owned and leased) using GPS tracking systems and the TMS
Assign trailers to drivers and loads in coordination with dispatchers
Monitor drop yards and customer facilities; locate idle, lost, or misplaced trailers and arrange their recovery
Coordinate trailer repairs and preventive maintenance with US repair shops and mobile mechanics (tires, brakes, lights, doors, reefer units)
Handle trailer roadside breakdowns: find the nearest vendor, get quotes, approve repairs, and follow up until the trailer is back in service
Keep track of annual DOT inspections, registrations, plates, and other trailer documents so they stay up to date
Manage trailer leasing and rental: pickups, returns, interchange agreements, and lease paperwork
Document trailer damage and support damage claims with photos, reports, and invoices
Check and verify repair invoices before they go to accounting
Keep trailer records in the TMS and spreadsheets accurate
Prepare regular reports on trailer utilization, idle time, repair costs, and fleet status
Communicate daily with drivers, dispatchers, the safety team, and vendors
Key skills and requirements
English at B2 level or higher, spoken and written (daily calls with US vendors and drivers)
Understanding of US trucking: trailer types (53' dry van, reefer, flatbed), DOT rules, how drop yards and shippers/receivers work
Experience with a TMS and GPS/telematics platforms (e.g., Samsara, SkyBitz, Spireon, Motive)
Confident Excel or Google Sheets skills
Ability to negotiate repair prices and compare vendor quotes
Strong attention to detail and organization; able to track many trailers at once
Problem-solving under pressure, especially during breakdowns
Ability to work US time zone shifts, including nights and weekends
Teamwork and clear communication with dispatch and safety departments
Experience in US logistics (fleet, maintenance, or dispatch) is a plus, not a must for junior roles
